Before You Pay for Another AI Tool, Start With the Problem
AI tools can help with writing, planning, research and repetitive tasks. But a new tool is not automatically a solution—and a monthly subscription can become another business cost if it doesn’t fit the way you work. At Kagiso Online, we encourage small businesses to start with the problem, not the product.

Name the task first

Ask yourself: What is taking too much time? What task gets repeated every week? Where do mistakes or delays happen? Be specific. “We need AI” is hard to act on. “We spend hours drafting similar customer replies” gives you something concrete to test.

Test one task before committing

Choose one small, low-risk task and try an available tool on it. Compare the result with how you currently do the work. Did it save time? Was the output useful after review? Did it create extra work? Small Business Administration guidance similarly recommends starting small and testing tools to see whether they add value.

Keep a person responsible for the result

AI-generated content can sound confident without being accurate or suitable for your customers. Review important outputs, correct mistakes and make sure they reflect your business. Don’t give a tool responsibility for decisions that require your knowledge of the customer or situation.

Decide whether to keep it

Before paying, consider the full cost: subscription fees, time spent learning the tool and time spent checking its output. Keep using it only if it’s helping with a real task. AI can be useful. The goal isn’t to buy every new tool—it’s to learn where technology genuinely helps your business. Need help thinking through technology choices? Kagiso Online helps small businesses across the West Rand understand their options and find a practical next step.
